Cloud migrations, office moves and hardware refreshes all end at the same place: a rack of decommissioned servers whose drives hold the most concentrated data your company owns. Customer databases, mail archives, backups of everything. Here is how professionals handle that last mile, and the mistakes that surface years later.

Server drives are not laptop drives

A laptop holds one person's work; a server drive holds everyone's. Databases, file shares, mail stores, credentials and full backups, often mirrored across RAID arrays, which means every disk in the array carries fragments of everything. Decommissioning one server can mean sanitising eight, twelve or twenty-four data carriers, plus the hot spares and the forgotten backup tapes in the cabinet next to it.

That concentration changes the calculus: for server media, physical destruction after erasure is often the right default, and per-carrier documentation is non-negotiable.

The decommissioning sequence that holds up in an audit

First, inventory: every server, every drive bay, every loose carrier and tape, registered by serial number. Second, sanitisation: verified erasure aligned with current IEEE standards for media with reuse value, physical destruction for failed drives, high-risk media and anything your policy flags. Third, the paperwork: a certificate per data carrier and a final report that maps every serial number to its outcome.

One: 'the RAID controller makes drives unreadable anyway', false; individual disks readily give up data to forensic tools. Three: the migration project ends, the budget closes, and nobody owns the physical leftovers. Make disposal a line item of the migration itself, not an afterthought.

Both are GDPR-defensible when verified and documented. Many companies choose destruction for all server media, the residual value of used server drives is usually low compared to the risk they carry.

What about backup tapes and external disks?

They belong in the same registered process. Tapes are a classic blind spot: they hold complete historical copies of your systems and are routinely forgotten in cabinets. Inventory them together with the servers and destroy them with per-item documentation.
